Payroll and multi-state compliance

Payroll goes wrong quietly and expensively. We run processing, filings and registrations so the liability never becomes yours to untangle.

What we run

  • Semi-monthly, biweekly or weekly payroll processing
  • Federal, state and local withholding deposits and filings
  • New state registrations for withholding and unemployment insurance
  • Multi-state allocation for remote and travelling employees
  • Contractor payments and year-end 1099 filing
  • W-2 preparation, distribution and reconciliation to the ledger
  • Benefit and retirement plan deductions, including 401(k) remittance timing
  • Owner compensation set at the level the tax plan calls for

Remote employees create obligations

An employee who moves to another state generally creates a withholding obligation, an unemployment insurance account, and in many cases an income tax nexus for the company itself. This happens whether or not anyone tells finance about the move.

We track where your people actually work, register where registration is required, and flag the tax consequences of a hire before the offer goes out rather than after the first payroll runs.

Payroll as part of the tax plan

For S-Corp owners, the split between salary and distribution is one of the largest single levers in the return, and it has to be defensible. We set it from a documented reasonable compensation analysis, then run it through payroll correctly for the whole year, rather than booking a large year-end catch-up that draws attention.

Frequently asked questions

Do we have to change payroll providers?

No. We work in Gusto, ADP, Rippling, Paychex and others. Where a platform is genuinely costing you money or creating filing errors we will say so, but the choice stays yours.

Who is liable if a filing is late?

Payroll tax penalties fall on the employer, which is why we own the filing calendar rather than reminding you about it. Where a penalty results from our error, we handle the abatement and the cost.

Can you fix historic payroll tax problems?

Usually. Unfiled returns, misclassified contractors and unregistered states are all resolvable, and the cost of voluntary correction is nearly always lower than the cost of discovery.
